We specialize in private label consumerretail products, promotional products and premiums, gifts-with-purchase, packaging, employee gifts, rewards and more!We work with our clients to understand their positionvoice and help create an emotional connection between our clients and their customers through branded products.ABOUT THE ROLE:Harper + Scott is seeking a part time Office Coordinator (or Summer Intern) to support the needs of our headquarter office in NYC. This role requires a passion for organization and helping to create a welcoming environment for our employees as well as visiting clients. The Office Coordinator will be responsible for the general office + supplies management, receiving and tracking multiple packages and product samples daily, reception and administrative support for our NY Headquarter Office. The role will report to the VP, Head of Operations. The ideal candidate should strive to maintain an immaculate, organized and efficient workplace, love a good checklist, and take pride in the aesthetic of our office and product sample cataloging and storage. We operate in a very fast-paced environment and require a committed, highly organized declutterer, who checks off tasks with a sense of urgency, regardless of how small. This is a part time role (approx 25-30 hours per week) Monday - Thursday 9:00am - 4pm, as daily workload requires, on site in NYC. The role is guaranteed through the end of summer 2024 with an option to continue if business needs require. WHAT YOU'LL BE DOING:Self-motivated team player, who is organized, adaptable, communicative, and is one step ahead of the office and team's needsReceive all mail + packages and alert employees of items delivered. Unpack, photograph, organize and re ship out product samples as needed to assist other departmentsAbility to lift packages weighing up to 30 pounds, move inbound boxes and re-organize storage bins on various shelf heights requiring step stools on a daily basisOrganizing and tracking product samples for office showroom, off site storage or donationLead our summer storage transition project and re organization in an offsite storage facility in NYC Proactively maintain an immaculate appearance of shared workstations, common areas, conference rooms, kitchen and storage area, including the breaking down of boxes for recycling and emptying the dishwasher and garbages dailyManage relationships with facilities related contractors, vendors, and service providersLiaise with building management and maintenance to ensure that any issues are resolved quickly and with little disruption to employees in officeAnswer and direct phone calls and general inbox emails with a positive attitude and an energetic work ethicAssist the Head of Operations with equipment tracking and general office supply needs for employeesAssisting with in office + offsite eventsinitiatives, including event booking and fooddrink ordersProviding general administrative support to members of the leadership team as neededWHAT YOU BRING TO THE TABLE:High level of energy, quick learner and can-do attitudeAbility to operate with a sense of urgency due and keep up with the company's fast paced environment, meeting deadlines and managing prioritiesAbility to work independently and take initiative to stay busyStrong proficiency in G Suite (google docs, sheets, slides and drives) Superior communication skills (written + verbal) Experience using project management software is a plusMust be of legal drinking age (many of our customers are in the Spirits + Beer + Wine industry)NOW FOR THE PERKS:Commuter benefits + partial cell phone reimbursement + unlimited office snacksHarper + Scott is an equal opportunity employer.
