Job ResponsibilitiesThe Field Services Representative will ensure that our traveling workforce is supported regarding onboarding processing; benefits questions and enrollment; promotions and pay rate/premium changes; bonus eligibility; leave of absence processing; policy questions; payroll backup, etc. Assistance with full cycle recruiting will be performed as needed.Recruiting:Assist with candidate onboarding processing and monitoring to ensure recruiting continues to move forward without disruption.Field ServicesManage overall field personnel processes for advancement, demotion, and separation; ensure changes are reflected in all KRS systems; Manager approval is received; and related announcements are made.Payroll ProcessingBackup and assist with payroll functions including processing, answering employee questions, and resolving processing errors.AccountingReconcile shared Visa statement (collect receipts, manage disputes, prepare reconciliation documents for approval). Human ResourcesAssist with planning and execution of special events such as benefits enrollment, meetings, and employee recognition.Provide policy guidance and interpretation to field staff members as needed.Answer questions from applicants and employees relative to policies and benefits.Maintain accurate and up-to-date HR files, records, and documentation.Maintain the integrity and confidentiality of human resource files and records.Perform periodic audits of HR files and records to ensure that all required documents are collected and filed appropriately.Ensure weekly reporting (headcount, personnel activity, etc.) are provided to appropriate personnel.Maintain HR content on company Microsoft Teams page.Ensure HRIS system (Workday) updates are processed to reflect current work locations, supervisor, cost center, , compensation rate, medical records, etc.Manage random alcohol and drug consortium pools and work with supervisors to schedule and complete required testing. Process requests for special exams that support the DOT FMCSA requirements and our safety programs.Process income withholding and child support notices.Respond to leave of absence requests by communicating with employees regarding their needs and options available. Provide support as needed in working with 3rd party service vendor regarding leave approval. Keep corporate contacts informed regarding leave processing as well as updating the HRIS system.Monitor retention and referral bonus eligibility and provide processing/payment information to Field Payroll Coordinator.Verify Workday records are setup, and that programs and processes are supported (resident state, payment elections, alternate work location data).General AdministrationPlace office supply orders and monitor supply levels for the department.Ensure DOT compliant driver file is established for all company drivers QualificationsAssociate Degree from an accredited college or university, or high school diploma with equivalent practical experience.Minimum of 3+ years of demonstrated general business acumen that includes time management; organization skills; self-motivation; mentoring of others; agility; adaptability; effective communication skills; and prioritization skillsProficient in Microsoft Office, with special focus on Excel, Word, MS Teams, and Outlook.
