This position is a hybrid role that requires three days in the office based upon the needs of the organization.Salary Range: $74,214-$87,776 annually. Qualifications:Education and Experience:Minimum five years of experience as an administrative assistant with increasing responsibility for the operations related to an office environment required. High school degree or equivalent required. Associate's degree in a relevant field from an accredited College or University or equivalent combination of experience and/or education preferred. Administrative professional/project management training and certifications preferred. Valid Colorado Driver's license required. Skills and Abilities:Expert knowledge of executive support and administrative practices and procedures. Skilled with administering projects from beginning to completion. Strong attention to detail. Ability to research and solve problems. Solid ability to research and summarize data to support ongoing initiatives. Capacity to independently plan, prioritize, and organize a diversified workload to meet deadlines; ability to manage multiple competing priorities and look for process improvement opportunities. This position interacts with all levels of staff, board members, vendors, external customers and community leaders. Work with a sense of urgency with the ability to pivot as priorities change. Intermediate to expert (expert preferred) knowledge of the most recent version of Microsoft Office suite using Outlook, Word, Excel, PowerPoint, and Teams, including coordinating calendars and email. Working knowledge of database concepts and document retention. Working knowledge with videoconferencing technology such as Zoom and Teams, and the ability setting up meetings for others. Expert capability to prepare presentations and reports for high-level, targeted audiences using various modes of technology. Ability to maintain confidentiality and demonstrate professionalism. Expert customer service and relationship management skills and demonstrated emotional intelligence. Have strong business acumen and exercise discretion and independent judgment while performing key job responsibilities. Essential FunctionsPosition Responsibilities:Serve as the primary point of contact for internal and external contacts on all matters the assigned ELT members are involved in and oversee all aspects of the executive's day-to-day activity. Resolve complex issues and conflicting interests with diplomacy or recognizing when issues need to be escalated Pro-actively and independently manage, analyze, and coordinate a broad variety of administrative tasks including managing an extremely active calendar of appointments; managing email communications; completing expense reports; composing and preparing correspondence that is sometimes confidential; arranging complex and detailed travel plans, itineraries, and agendas; and compiling documents for various meetings Provide project management to key strategic initiatives as assigned by ELT members. Communicate with stakeholders major milestones status updates, potential project risk or delays, and proposed mitigation strategies and contingency plans. This could include development of workplans, technical input, research, project scope, project estimates, resources, timing, project risks and interdependencies. Works directly with the executive team and department leaders on a range of projects that are critical to the core operations and growth of the business With minimal direction, draft, edit and distribute internal and external communications on behalf of the assigned ELT members. Proofread and edit others' communications before distribution. Run and distribute standard reports; create custom reports and/or analyze reports as needed/requested. Coordinate, prepare for and support meetings that are led by the assigned ELT members, including scheduling, preparing appropriate meeting space, ordering catering, (includes site selection, contract management, agendas, materials production and coordination of presenters and other resources); may include group travel coordination. Provide hospitality services to guests and assist with materials, presentations and other resources as requested. Other Responsibilities:Submit invoices and expense reports on behalf of the assigned ELT members per company policies. Provide back-up administrative coverage for peers, including the executive assistant to the CEO, ensuring all internal and external customers are supported. Approve timecards for ELT direct reports. Become familiar with and follow organizational wide and department specific policies and procedures; seeking assistance from management when clarification or assistance is needed. Working Conditions:This position is required to be in office in a hybrid work environment based upon the executive's needs. Light physical effort is typically required due to numerous group meetings held throughout the year. Handling objects up to ten pounds regularly and up to twenty pounds occasionally. Potential for tight deadlines or time periods of high workload may require additional hours. May be required to work weekends, nights, or be on-call. Availability to support leadership retreats and different work schedules, including weekends several times throughout the year. Moderate physical effort is required handling objects up to 25 lbs. occasionally. Regular and reliable attendance is required. The noise level in the work environment is usually minimal. Regular exposure to a computer screen. Requires use of standard office equipment, e.g., Computer, scanner, printer, telephone. While performing the duties of this job, the employee is regularly required to walk, stand, talk or hear. The team member frequently uses hands to type, touch, grasp, or hold; reach with hands and arms. Ability to perform the essential functions of the job with or without a reasonable accommodation. Travel as needed. Reliable transportation and vehicle insurance that meets all Colorado State laws is required.
