How You'll Help Transform Healthcare: Supports administration of the work order management system for Carilion maintenance functions as well as provide management and operational support. Assists department management in gathering data as well as managing documents and drawings. Responsible for developing and maintaining documents management and compliance systems. Maintains department drawings and documents, specifications, regulatory reports and other document compliance. Creates and manages document retrieval system for compliance audit and site visits. Responsible for creating and managing a system for processing regulatory and office documentation. Maintains, organizes and manages office filing system, and tracks daily attendance using timekeeping software. Tracks attendance and creates reports. Assists in review and closing of work orders. Provides back-up and assistance for the Work Order Administrator. Opens work orders, closes work order, and dispatches staff. Creates and issues required memos for facility maintenance shut downs as well as documentation required by regulatory agencies. Responsible for work order quality control and customer follow-up. Contacts customer to verify closure status. Troubleshoots processing problems. Investigates customer complaince and identifies solutions. Monitors and summarizes quality control inspection reports. Provides interpretation of codes, regulations, and guidelines. Advises departmental staff on document retention requirements. Manages contractor sign-in logs and issuance of required contractor identification badges and parking permits. Assists in creating and maintaining department administrative, and reporting processes. Composes and compiles reports and summaries from documents or work order system. What We Require: Education: High School Diploma required. Associate degree preferred. Experience: Three years of business, healthcare, and/or maintenance experience required. Experience with maintaining compliance documents highly desirable. Knowledge of maintenance administration systems preferred. CAD experience preferred. Other Minimum Qualifications: Effective communication and problem solving skills required. Must be capable of prioritizing multiple projects and meeting deadlines. Intermediate to advanced skills in Microsoft Office suite and experience in database applications required. Understanding of a regulatory work environment desired. Must provide own transportation and travel to other Carilion work sites, as necessary. May be required to work at other Carilion facilities.
