Our team is made up of hard-working people who work safely and deliver high-quality results to our customers - and we are looking for more!This position is responsible for directing activities concerned with the administration of contracts awarded and performing a variety of clerical and office support duties. Apply principles of accounting to analyze financial information and prepare financial reports.Contract AdministrationCoordinates activities concerned with administration of proposals and activities of bids and contracts awarded for assigned project work.Works with other Contract Administrator and Administrative Assistant to balance tasks and responsibilities on our overall contract workload.Obtains all necessary documents for contracts including bonds, insurance, sublets, etc.Processes prepared bids and approved amendments to or extension of contracts.Processes subcontracts, verifying proper supporting documentation including bonds, insurance, and tax exemptions.Processes subcontract payments for approval by project manager and payment by AP.Final contract close-outs including maintenance bonds.Tracks contract performance including contract paperwork and provides updates for project managers.Receives and processes requests for deviations from contract specifications and delivery schedules.Uploads and manages bid information for projects in HCSS and distributes project listing.Calculates and tracks sales tax for projects prior to invoicing.Communicates with and maintains relationships with relevant subcontractors, DOT offices, bonding companies, and state and federal agencies as applicable.Supports as requested for any operational management needs in relation to contract and insurance issues.Communicates effectively (verbal, listening, written) and works with various people under high stress situations. Self-motivated, team-player with good interpersonal skills; ability to maintain positive customer relations and act courteous/respectful of others.Troubleshoots and problem solves situations/problems (material quality, equipment operation/repair, etc.). Monitors and discusses production problems with co-workers and managers/supervisors.Works on DOT audits in addition to assisting with other audit requirements.Performs other duties as assigned.As needed, answers and screens calls, relays messages, provides information, and greets visitors.Accounts ReceivableAssists with project and customer setup in ticketing system and updates for mix, plant, and cost changes.Manages material billings by ensuring accurate sales pricing, generating daily reports, sorting documents, and invoicing customers and completing daily reconciliations.Ensures that customer invoices and statements are issued timely. Completes monthly finance charge/statement processing.Processes credit card transactions and confirms all customer payments posted.Manages the credit and collection process. Takes and processes credit applications, contacts delinquent customers all while maintaining low delinquency rate and positive customer relationships.Generates required reports.InventoryProcesses receipts of materials into the system and codes invoices for vendor payment.Sets-up purchase orders for projects.Collaborates with QC Manager to track material used in asphalt production, monitor changes and process inventory consumption.Tracks KPI's for plant operations including tons produced, RAP used, plant hours available and used.Minimum Qualifications:Two to four years in a construction or business-related environment preferred.Excel & Adobe Acrobat knowledge must be proficient.Knowledge using POS and ERP systems is a plus.Understanding of contract administration for governmental construction work beneficial.We consider applicants for all positions without regard to race, color, religion, gender, national origin, gender identity, disability, age, marital status, protected Veteran status, creed, status with regard to public assistance, sexual orientation, or any other protected category under applicable state/federal law.
